Exhibition Guidelines

Please ensure that all staff involved with your stand/presence at the exhibition over the two exhibition days are dressed appropriately. Inappropriately dressed members of staff on exhibition stands will be prohibited from attending the exhibition.

For security and safety reasons, exhibit movement in or out of the exhibition halls is not permitted during exhibition opening hours.

 

Compliance with these guidelines is essential for a seamless experience of the exhibition. Exhibitors are required to familiarise themselves with and adhere to the provided rules to ensure alignment with our company policies and prioritise health and safety measures:

 

• No marketing, advertising, self-promotion, or branding activities outside of your paid for stand space is allowed, unless prior written consent has been obtained from the organisers.

• No filming within the exhibition hall is allowed unless prior written approval has been obtained from the organisers.

• No marketing, advertising, or branding activities, including the use of lasers, exceeding a height of 4m is allowed, unless expressly authorised by the

organisers in writing.

• Items presenting special risks are not permitted on-site without prior written approval from the organisers.

• Display of equipment, materials, or marketing outside the paid-for stand space is prohibited.

• Utilisation of aisles for any such purposes requires prior written consent from the organisers.

 

Breach of these rules can lead to penalties

Please note that complying with the contents of the e-guide is a condition of exhibiting.

 

Site Rules

We want everyone to be safe at our venue. The following applies to all contracted staff, organisers, exhibitors, and authorised visitors:

 

• Approval from the Principal Contractor (VistaSouth) or organisers is required for vehicle access into halls/loading bay.

• High visibility vests must be worn when off-loading/loading in loading bays – work safely.

• Loading/unloading of equipment/freight into the main venues entrance is strictly prohibited.

• Miami Beach Convention Centre does not accept freight/package deliveries; carriers do not deliver to individual booths.

• Possession/use of controlled substances, speeding, music/noise hindering alarms, and entry of children under sixteen during move-in/out are prohibited.

• Only sworn law enforcement officers with full-time status in Miami Beach are authorised to carry weapons.

• Prohibition of helium-filled balloons/blimps, confetti, glitter for displays/exhibits is enforced.

• Motorized vehicles with steel/hard metallic wheels are not permitted in concourses/lobbies.

• Casual/recreational drone use at MBCC is prohibited, seek approval with the venue for promotional use.

• Removal of MBCC’s electrical equipment is prohibited.

• Personal transport devices are not allowed on carpet/terrazzo floor surfaces during show hours.

• Special permits are required for event activities/exhibits involving cooking, lasers, pyrotechnics, tents, multi-level/covered exhibits.

• All accidents/incidents must be reported to the Principal Contractor or Venue Event Manager.

• Maintain proper housekeeping and dispose of waste appropriately.

• Hazardous chemicals/materials are prohibited inside MBCC e.g. pesticides, herbicides, poisons, flammable and combustible liquids, hazardous gases,

pressure cylinders and tanks, and hazardous chemicals.

• Open flame devices are allowed only with approval from the Fire Marshal and MBCC.

• Smoking/vaping is strictly prohibited inside the venue and in the vicinity of entrance portals.

• Taping on vertical/overhead surfaces, walls, doors, windows, MBCC equipment is prohibited.

• Rigging is only permitted by Everlast Productions for AV and VistaSouth for banners.

• Compliance with current OSHA standards is mandatory for licensees, providers, and contractors. Immediate notification to the EM and General Manager if OSHA arrives onsite. Tape & Tape Removal

Taping on vertical, overhead surfaces, walls (including carpet), doors, windows and MBCC equipment is prohibited (i.e. Double-faced tape, duct tape, scotch tape,

cellophane tape, drafting tape). If tape is used the exhibitor is responsible for the removal of the entire residue. You may incur additional expenses post inspection

for tape removal.

 

PPE

Appropriate PPE (personal protective equipment) must be worn:

• High Visibility Vests

• Suitable Footwear

• Suitable head protection when working at height (above 4m) or around working at height

 

Please ensure you bring sufficient Hi Vis vests with you for you and your team. This includes hardwall exhibitors as well as space only exhibitors.

Failure to wear appropriate PPE will result in you not being granted access.
